We do not collect any credit card/payment details - this is handled via our third party payment processor (PayPal). Who are we?
Gilded Image is the website of glass artist and jewellery maker Katy Quinn.
Capturing customer data
Under the General Data Protection Regulations in Europe there are several valid reasons for collecting and processing data on our customers:
- consent: This is obtained when you agree to receive information from us either because you signed up to our newsletter via this website, or you added your email address when filling out our visitors book at our exhibitions, or you sent us a contact request via our website or via email.
- to honour a contract: When you order something from us we have a contractual obligation to fulfil the order and send your items out to you. We therefore need to obtain information such as your address, which we store and which we also need to pass onto our couriers and to PayPal.
- legal obligations: In certain circumstances we may need to obtain and process your information, for example in the event of fraudulent or criminal activity.
Times when we collect your data
There are several times at which data you supply to us can be collected and processed:
- When you choose to subscribe to our email newsletter.
- When you add an email address to our visitors book at any of our exhibitions and open studio events.
- When you fill in your details on our Contact Us page
- When you send us an email directly
- When placing an order online
- When placing an order in person at our exhibitions and open studio events.
Mailing List
Katy frequently does exhibitions and open studios with photographer David Quinn and we share a visitor's book on these occasions. Therefore, we maintain a single mailing list and our mail-outs will include details about both our activities.
We do not automatically add your details to our mailing list when you contact us via the contact page or via email.
Types of data we collect
For newsletter mailing lists: we collect your email address and (optionally) your name if you provided it.
For online orders: name, address, telephone number, email address, order history and receipts.
We also monitor IP addresses to gauge suspicious and potentially illegal activity.
For deliveries: customer names, addresses and contact details.
How and when data is used
There are several ways in which we will use the data we collect:
- To process orders and send them to customers.
- To keep you informed of new products, events and information via our newsletters.
- To answer queries and process refunds.
Protecting data
We treat all data with the utmost respect and security.
Our website is securely hosted with password protection for all areas including personal information and payment details.
Retention
The duration of time we retain data can vary depending on the nature of the data and its use, as well as legal and business requirements. Any data pertaining to sales is legally obliged to remain on file for six years.

We will sometimes need to share data with the carriers we use to deliver customer orders.
Any third parties we supply data to are obliged to use it solely for the purpose it has been supplied for, to process it securely and to dispose of it once no longer required.
